Real-Time Sync is now in Mendeley Cite!

Real-time sync is now in Mendeley Cite! Users no longer have to manually sync their Mendeley Reference Manager library with their Mendeley Cite library to view their updated references.

Development of the new feature began earlier this year, with gradual updates being implemented over time. Users may have noticed that, in the summer, the sync button was relocated from the menu to the header. While the sync button is still available for manual use, the process is no longer required on a regular basis.

I asked Teodor, the lead engineer for this feature, how he felt about the release.

“With great teamwork and a methodical approach, we have successfully implemented and delivered this long requested feature to millions of users. I am thankful to have been part of this effort, which is an important milestone and a solid platform for future development.”

So what do users have to do to use this feature?

Firstly, make sure your Mendeley Cite is running on the latest version.

Secondly, nothing! Real- time sync works automatically so all users have to do is open Mendeley Cite and you’re set.

What else has Mendeley Cite been up to?

In addition to real-time sync, Mendeley Cite now has a new feedback modal which makes it easier for user to share their thoughts and requests (note that this is not the support channel, and all support queries should be posted here).

Hi, please tell us a little bit about yourself:

Hello! I’m Carlos, and I work as an engineer at Mendeley. I joined Mendeley roughly five years ago – from the beginning, I was drawn to the company’s mission of empowering researchers through innovative tools. I would say I’m a little bit of a geek, depends how you define it *laughs*. I love travelling, music and good food.

In your contribution to Mendeley’s mission, what you say is the most exciting part of your job?

The most exciting part of my job is figuring out new ways to improve our product and leaving it a bit better than I found it. Whether it’s optimising existing features or developing new functionalities, I thrive in the challenge of enhancing the user experience. It’s incredibly rewarding to see our efforts translate into a tool that researchers rely on daily.

What is your favourite feature in Mendeley Reference Manager?

One of my favourite features is Watched Folders. This feature allows users to automatically monitor specific directories for new references, streamlining the process of managing and organising research materials. Additionally, we’re working on some exciting new features that I can’t reveal just yet, but they promise to take the Reference Manager to the next level.

Marijn said the same thing! Watched Folders is very popular, and as an avid user of it myself, I see why it would be.

I’m going to give a selection of features, please choose the one you feel most aligns with you based on the information given– Duplication Management, Watched Folders, Groups, Reader.

Watched Folders definitely aligns the most with me. This feature embodies the essence of automation and efficiency, which are key principles in my approach to software engineering. By enabling users to seamlessly integrate their reference management into their existing workflows, Watched Folders enhance productivity and reduce manual effort.

Agreed! Similarly Duplication Management also allows users to save time by detecting duplicate references in their library.

What is something you want the users to know about Mendeley Reference Manager?

We listen. Your opinions as users are incredibly valuable to us, and we strive to meet and exceed your expectations. Every piece of feedback is carefully considered as we develop new features and improve existing ones. Hi, please tell us a little bit about yourself:

Hello! I’m Marijn, and I work as a product manager at Mendeley. I joined Mendeley in April 2019, starting my journey with working on the new Mendeley Cite add-in. I have a passion for etymology and love learning about languages and their origins.

What would you say is the most exciting part of your job?

I love problem solving, and we get to do a lot of that. I really enjoy working with the whole Mendeley team, especially listening to the feedback from our users and working with people to try and create an amazing product.

I have a couple of Mendeley Reference Manager related questions here for you to answer, so let’s get started.

What is your favourite feature in Mendeley Reference Manager:

I use collections quite heavily in my library to organise my personal and work-related articles. I also use the watched folder functionality a lot, it’s made importing much easier.

I also love watched folders; it’s definitely made my life easier.

I’m going to give a selection of features, please choose the one you feel most aligns with you based on the graphics you see below:

I would call myself a wingman; I love finding ways to add ease to my workflow. And I think it’s quite fitting because I use the watched folders feature a lot.

I think I’m a bit of a bookworm myself, all my friends say that I’m great at reading people. And because of the Mendeley Reference Manager reader, I also find it easy to read my articles.

What is something you want the users to know about Mendeley Reference Manager:

We’ve been working hard to improve the performance and reliability of Mendeley Reference Manager over the last year or so; we know this is important to our users. There’s still a lot more work that we want to do on this, and we are really excited and happy to see the impact and feedback we’ve been receiving from our users about the improvements they’ve noticed.

That’s fantastic to hear, I’m sure Mendeley users are also very excited. I have one last question for you.

What comes to mind when you hear the phrase, “The Future of Mendeley”:

This is something we’ve been thinking about a lot at Mendeley and it’s quite exciting. As I had mentioned above, we’re doing a lot to make Mendeley Reference Manager feel and work more reliably and quicker; we really want our users to trust Mendeley and be confident that the Mendeley Reference Manager is a great tool. Also, when talking about the future, we also have to discuss the topic of GenAI. We believe this technology will bring new and exciting changes to the researcher workflow, especially regarding reference management. We’re working hard behind the scenes at Mendeley, and we’ve got some really exciting things coming in the near future.

3 Ways to Get the Most Out Of Mendeley References Manager

Mendeley Reference Manager has been designed with a variety of features that simplify your referencing workflow and help you stay organized and fully focused on your research. Here are a few of our major features that can help you get the most out of MRM.

Minimise windows with the inbuilt reader.

In Mendeley Reference Manager you can read any reference that has a PDF attached within the application. Additionally, you can highlight any key phrases and leave comments/annotations so you can always bookmark your thoughts. Simply select a reference and click on “Read”, or “Get PDF” to retrieve the PDF file.

Eliminate clutter with the inbuilt notebook.

Mendeley Reference Manager helps you keep your references and notes in the same place, so you don’t have to keep track of them both. And you can easily export your notes if you need to share your wisdom beyond MRM. To access the notebook:

Find the notebook icon in the left-hand side navigation bar or,

Select a reference and then select notebook at the top of the right-hand side bar.

Collaborate and share your knowledge with Groups.

This is a feature that allows users to create private groups and invite their colleagues to join. Users in the group can also highlight text and add annotations that everyone in the group can view.

How to Avoid Burn-Out When Writing

Writing is one of the most important forms of communication and has been pertinent in allowing academics to: share their ideas, engage in critical thinking and collaborate with other academics. Sometimes as writers we can encounter various blockers, one of them being complete burn-out. Fortunately, we know that there are ways to ensure we limit the effects of burn-out when we write.

Admit you’re burned-out.

Prevention is better than cure and the best way to prevent something is knowing when it is coming. It is important to acknowledge when you are starting to feel overwhelmed and exhausted, it is even more important to know that once you have recognised that, it is okay to take a step back and recharge.

Prioritise self-care.

Don’t forget to take care of yourself and your mind.

Take a break; go for a walk, partake in a relaxing hobby or stimulate your mind with a creative activity.
Adjust your schedule; consider shortening your writing sessions or having longer/more frequent breaks.
Set boundaries; figure out where you start hitting a mental block and define your working hours accordingly.

Get some help.

It’s okay to get some help, in fact getting help can be incredibly liberating. Whether that is collaborating with fellow academics or using reference management software.

Take advantage of a variety of options

Previously the only citation style available with the ‘Copy as citation’ function was American Psychological Association (APA), users are now able to select their default preference from a list of 10 citation styles.

Simply select a citation via the checkbox and a toolbar should appear at the bottom of the screen. Select “Copy as” and then “Change Citation Style”, your Preferences side panel will pop up where you will be able to choose from the list.

Quicker imports than before

Users have always been able to import multiple files and to make that process even quicker and easier, users can now import multiple files at a time by simply importing the folder containing them.

Easily shed the extra references

Further in our bid to make processes quicker and easier, instead of deleting each duplicate reference, users can now select the reference they want to keep and automatically delete the duplicate references they don’t want.

All you have to do is go to your Duplicates collection, select the “Actions” menu on the reference you want to keep and select “Keep this reference only”.

Personalise your library experience

In addition to resizing columns to user preference, users are now able to organise those columns to their preference by dragging and dropping the column titles.

Streamline your workflow: Watched Folders are now in Mendeley Reference Manager!

Introducing Watched Folders in Mendeley Reference Manager! Watched Folders allows users to automatically add new documents/references into their library without going through the in-app import flow. All you have to do is drop a file into your Watched Folder, and Mendeley will automatically import it into your library.

Why you should use them

There are a few reasons why Watched Folders is an important tool for your workflow. It allows for automated reference import, which means it saves users a lot of time manually importing references, and also helps users to effectively organise their files into one local folder.

How to use them

Currently Watched Folders is only available in Mendeley Reference Manager Desktop. Simply select your account icon in the bottom left corner of the application, select “Preferences” and you should see the Watched Folder section. Select the Watched Folder option to open the Watched Folder panel and select “Choose folder to watch” to choose the folder you want to use. Now that you have selected a folder you can add your files to the folder, and the next time Mendeley Reference Manager syncs, your files should be available in your library.

What’s New in Mendeley: Our Most Recent Releases

It’s a new year and Mendeley’s new year resolution is always to be better than the year before. We’re so proud of what we accomplished last year, and we are eager to do more this year.

To begin the year with a bang, here are a few features we have recently released in Mendeley.

Bridge the Gap Between Your Citations

Save time and cut out the middleman (literally). Whether you want to maintain text-source integrity, or just avoid visual clutter, Mendeley Cite users can now merge citations, from anywhere in their document, together.

Simply highlight the section containing the citations you would like to merge together and select “Merge Citations” in the drop-down menu.

Import Bibtex Files Freely

Previously, some users were experiencing an issue where their bibtex files would either only partially be imported into MRM, or not be imported at all. However, after an upgrade, users no longer have to worry about this and should be able to see all the bibtex files they have imported into their MRM library.

Easily Locate Your Files

MRM’s in-built reader allows users to read, annotate, highlight and even note-take, however we understand that some users have their own preferred tools which is why we have made it easier to locate your references in your local machine. In MRM users can now open the containing folder their chosen reference is in.

All you have to do is select the “More actions” menu in the “Files” section of the right-hand side panel for your chosen reference, then select “Open containing folder”.

Get to Your Destination Quicker

Initially users would have to scroll through their PDFs to get to the page they wanted, which could be time-consuming with references with numerous pages. Users can now use the new PDF navigation arrows and page numbers to get to where they want much faster than before.

Easier organisation with the Unsorted Collection:

When you have a large library, it can be hard to keep track of what collection a reference belongs to, and even harder to know whether a reference belongs to a collection at all. Which is why Mendeley Reference Manager has added a new smart collection that contains all references that do not belong to a user collection.

Drag and Drop Import into Personal Collections:

Save time and cut out the middleman. Just like with the ‘All References’ smart collection, users can now drag and drop references from any folder, hard drive, or external storage into their user collections in Mendeley Reference Manager.

Resize Table Columns:

Customise your library experience with Mendeley Reference Manager; whether you want to see as much information as possible, or you prefer a summarised view, users can now resize their table columns to their preferences.

The Most Popular Citation Styles, Revealed!

Citations are incredibly important to a researcher’s workflow, as well as an author’s merit. The two more well-known kinds of citation formats are in-text citations and footnote citations.

Not too long ago we announced the release of footnote citation styles in Mendeley Cite and while adding that feature, we realized that information about citation styles isn’t readily available. And so, in our ongoing bid to constantly contribute to the research community, we have decided to share our data.

We came into this research period with expectations; the assumption was that in-text citations would dominate the list as they are the most popularly used citation style.

And whilst the results corresponded with our assumptions, we didn’t expect to see only in-text citations in the top 15. But this is understandable as footnote citations styles only make up about 1% of citation style usage across Mendeley Cite, with “Chicago Manual of Style 17th edition (full note)” taking the top spot as the most popular footnote citation style (according to Mendeley Cite October 2023 data).

APA, IEEE and Vancouver being the top three most popular overall was also not a surprise as they are frequently referred to as some of the most used citation styles. However, in contrast to our assumptions MLA (Modern Language Association) was not included in the top 15 even though it is more than often cited as one of the most popular citation styles.

Steer more easily with Panning Mode:

Mobile users are now able to scroll more easily when reading their PDFs in the Mendeley Reference reader.

To do this, select the new pan icon in the reader and then scroll as you usually would.

Citing made easier with the new Insert Citation Button:

Users have always been able to insert a citation by selecting their chosen citations and selecting ‘insert # citations’ in the pop-up at the bottom of the add-in. Now Mendeley Cite has released a new button that gives users the ability to insert a citation with one click.

Simply identify the reference you would like to cite and select the blue Insert Citation button.

Writing Made Simple: Footnotes Citation Styles have Arrived in Mendeley Cite!

Footnotes citation styles have been released in Mendeley Cite! Users are now able to insert footnote citations into their Word documents via Mendeley Cite.

Citations are important to research as they not only contribute towards the collaborative nature of academia, they ensure that academics can get the credit they deserve. However, it can be easy to get overwhelmed by all the references you have to cite, especially if you are authoring, or even co-authoring, a lengthy thesis. Which is why we make citing with Mendeley Cite so simple – we do the hard work for you!

Some citation styles have citations added at the bottom of the document page as a footnote, these styles include: Chicago Manual of Style 17^th Edition (full note), Modern Language Association 6^th Edition (note), OSCOLA (Oxford University Standard for Citation of Legal Authorities) etc.

Mendeley Cite users have always been able to insert in-text citations into their document, but we heard your requests, and we are happy to announce that footnote citations can now also be inserted using Mendeley Cite. And with seamless integration between Mendeley Cite and Mendeley Reference Manager, it’s never been easier to write your research.

How do I insert footnote citations into my document?

Users can insert footnote citations into their document in the same way they would in-text citations.

Firstly, open the application and select ‘Citation Settings’ and then select ‘Change citation style’.

Secondly, search for and select your chosen citation style, such as Chicago Manual of Style 17^th Edition (full note).

Lastly, either select the references you would like to insert and insert your chosen citations by selecting ‘insert # citations’ in the pop-up at the bottom of the add-in…

…Or insert just one citation by selecting the ‘insert citation’ button right below your chosen reference.

In Word desktop, the footnote citation will appear at the bottom of the document page but in Word for the web, the footnote citation will appear upon selecting the footnote number.

And that’s it!

Hidden Mendeley Reference Manager Features You Might Not Know About

Save time with Metadata DOI Lookup.

A DOI, or Digital Object Identifier , is a unique set of characters assigned to a digital document such as a scholarly article.

When you insert a reference that contains a DOI into your Mendeley library, you can search for the reference and fill in the reference metadata with a single click, saving you from having to manually input information for each reference. Metadata is important as it helps us easily understand what an article is about, and this is especially useful when having your work cited or citing references yourself – which has been made simple with Mendeley Cite.

All you have to do is open the information panel by selecting the reference and scroll down to see if your reference contains a DOI.

If it does, select the small magnifying glass icon and your reference information will automatically be updated.

Balance Collaboration and Privacy with Groups

Groups allow you to collaborate with your colleagues and peers to build a shared corpus of references on topics. You can either be invited to one, or easily create one yourself.

But did you know that any reference you add to a group library is a separate copy to the reference in your personal library. Which means any notes/annotations/comments in your personal copy are kept private so you don’t have to worry about anyone reading your research before it’s ready.

Duplication management in Mendeley Reference Manager has arrived! Users can now easily view and remove any pre-existing or newly-added duplicate references from their library, helping to keep the organizing of their references under control.

Researchers continue to be faced with more and more information, and from an increasing variety of sources. So it’s an easy mistake to make to add duplicate references to an already extensive library. A mistake, however, that can lead to confusion and errors when inserting citations in a paper.

That’s why we’ve introduced a new duplication management feature in Mendeley Reference Manager that can help you identify and remove any duplicate references that threaten to disrupt your workflow. And with seamless integration between Mendeley Reference Manager and our citation add-in, Mendeley Cite, it’s never been easier to write your research.

How does duplication management work?

Mendeley Reference Manager identifies two references with the same DOI as duplicates.

On importing a duplicate reference into your library, a pop-up will appear at the bottom right-hand side of the screen.

Duplicate references are also automatically added into a new smart collection called ‘Duplicates’. In this smart collection, the duplicates are grouped into individual ‘sets’ of duplicates.

You can easily delete these duplicate references by selecting the trash icon.
